Planning procurement management is a very detailed oriented process as a project manager. When you have so many things that tie together and make a project whole it can get overwhelming and you might sometimes not know where to start. As a project manager ironically planning procurement management is one of those tools that can help you with your planning as well. When working on a project you will need something or some type of process that will help you document what you are doing along the way and to help figure out what goes where. When you are planning a project it is very hard to keep all of your tools in your head and to figure out what is needed. Planning procurement management helps you by giving you a process and a step by step guideline on what is good to keep track of during a project. With having to keep such detailed records for a project it can be hard to keep track of what is needed where and when, in the process of creating your project as a project manager. Project procurement management involves different types of written and visual information. For example, an economist might need to make a visual of the supply and demand for a certain product they are studying and researching, you might see this economist use a line graph in the shape of a supply and demand graph to help convey their information and see how the product is used at consumed and different price ranges and supply. As a project manager, although you might not be that economist used in the example before this, it is your job to be able to easily convey information and have all the information correctly made in one place. For example, let's say you have stakeholders, they might not know all the ins and outs that go into a project after all the hired you for a reason, so, to keep the stake holder on the same page as you it might help to have all the information in one place to help the decision process from them and it is probably very appreciated that they can see all the thing you have planned for the project. Also for a certain project you might have tons of information going into it and if you just keep all of that information inside your head things might get very confusing very fast. Making a project management procurement plan puts everything in one place to help you, the project manager makes sense of what is needed. This connects all the lines in your head and makes it easy for you to see the project as a whole and possibly catch mistakes within the current plans.
Talking With Other Professionals About the Project
When creating a plan as a project manager for a software project it is okay not to know everything. Let's say you are creating an app that allows you to order food from restaurants, and you are allergic to all the food out there and can only drink water. It is smart for you to bring other people into the details of the project to help you make a good experience for users. Bringing in experts allows you to see the whole scope and see the different levels of importance and problems that occur during the use of the software. For example, bringing in a chef can help you see what is possible to make and the different types of food that is created to help you organize your app. You can even bring a potential user in to help you plan what is needed. If you are creating an app that helps construction workers then you should bring a worker in that can point out flaws, let's say you are planning on creating small buttons but their gloves couldn't press, well that would be important to know going in to help design the UI.
Visual Tools
Humans take a lot of information by sight. Creating ways as a project manager that allows people to visualize what is going on and what areas have the most things going into it. For example, having a visual to see the road map of the project going forward can allow you to see what is dependent on what and the order that things need to be done in. Having a project can have so many different variables and multiple things can sometimes be dependent on one task getting done. It is hard to see the severity of this one thing through just words on a page so it makes it more accessible to see areas where bottlenecks can occur. Some other things that can help are making a Make-or-Buy analysis. Using this can help you see what parts create the most budget issues in a project and what options are the most cost effective.
Written Tools
One of the major tools you can use in your project can be a statement of work, also called a SOW. Using a statement of work allows you to see what is needed for the project to get done. It will have everything organized and listed out for you to see what needs to get done. It is almost like a huge list of tasks that allow you to plan what will be needed in the entire project with no connection yet to the severity of the task. You will have information like where it is being done, at what time and who will be working on it. You will put the requirements on it that are needed to finish the project.
Connections to Agile Methodology
Project Procurement Plan is very necessary in the Agile project methodology. For example, a Kanban is a great planning tool that allows you to show the timeline of the project through the creation of all the tasks that need to be done during the project's timeline. Also having a specific timeline created allows the Agile process to run smoothly and be helpful for the people working through it.
